The “KVYS Dissemination Training and Workshop Program”, organized by our university’s Accreditation, Academic Evaluation and Quality Coordinatorship, was held on 21–23 July 2026 in the Mevlâna Celaleddin Rumi Amphitheater of the Faculty of Arts and Sciences.
A continuation of the TS EN ISO 9001:2015 Quality Management System trainings provided to our staff by the Turkish Standards Institution (TSE), the program was organized to spread the quality management system culture across the university, standardize processes, complete unit documentation and carry out data entries into the Quality Data Management System (KVYS) software. Morning sessions were conducted as training and briefing, and afternoon sessions as hands-on workshops; the first day was devoted to administrative units, the second day to academic units, and the third day to center directors and coordinators.
The opening speeches of the program were delivered by Prof. Dr. Güven Özdem, Vice Rector responsible for Quality, and Prof. Dr. Mustafa Şanal, Chief Advisor to the Rector and Coordinator of Accreditation, Academic Evaluation and Quality. Secretary General Coşkun Şentürk also attended the program.
In his speech, Prof. Dr. Güven Özdem emphasized the importance of the documentation work carried out under TSE for building institutional memory and for the YÖKAK Institutional Accreditation Program (KAP), drawing attention to the evidence-based structure of the quality assurance system. Prof. Dr. Mustafa Şanal stated that the holistic approach demonstrated by the university in TSE processes would make significant contributions to the institutional quality culture and to KAP processes, underlining the importance of staff and stakeholder participation in quality work.
The program was presented, and the speakers introduced, by Lecturer Osman Serdal Karapınar. In the first session, the “Quality Management System and KVYS Training” delivered by Coordinatorship member Lecturer Şevkiye Babacan covered the quality management system, the TS EN ISO 9001:2015 standard, the PDCA cycle, process management, risk-based thinking, documented information, document management and the relationship between ISO 9001 and YÖKAK criteria. In the second session, GRÜ-KVYS was introduced by Assistant Coordinator Asst. Prof. Dr. Hakan Sipahi and Lecturer Osman Serdal Karapınar. The system’s modules, user roles, document workflows, and data entry and approval processes were explained hands-on, and the work carried out to date, the contributions expected from units and the timeline targets were shared.
In the afternoon workshop sessions, process cards, risk and opportunity analyses, job descriptions, and draft procedures, instructions and forms were reviewed together with the participants and improved in line with their feedback. Participants carried out hands-on work on the KVYS software, contributing to the finalization of the documents. Throughout the program, attendance records were taken via a QR code system, and participant feedback was collected at the end of each session. It was stated that the data obtained would be analyzed in line with the continuous improvement approach and used in planning future training programs.
The program will conclude with an evaluation and finalization session to be held on 29 July 2026 with the participation of all units, in which data entries and documents will be reviewed, final checks will be made to remedy any deficiencies, and the overall evaluation will be completed.
